Personal information we collect, what we use it for and how to opt out

  1. When you submit a Get a Quote or Ask Archie form on our website to enquire about roofing work you need doing, this information is directly sent to our Outlook email ([email protected]). Here we transfer over this information to our CRM (Customer Relationship Management system called Insightly) system’s task list for our roofing managers to process and contact you accordingly. We will then use the email/phone number given to contact you to arrange a site visit. Once we have been to the site, we will raise an estimate and email or post it over to the client. We will contact you to send the initial quote and then if we have not had a response from you we will send a follow up email to check if you want the works to be carried out or if you have any further questions regarding the works.

    If the quote gets accepted we will save your information onto our CRM, so that we can store all estimates/invoices/guarantees linked with your address. If the works require a guarantee then we will store your information as long as the guarantee requires. We need this information stored so we can contact you if there are any issues.

    If the quote isn’t accepted or lapses, any information saved on our CRM will be deleted after 6 months unless you have opted in to receive future email communications from us.

    We will ask you to tick a separate box to confirm the use of your email address to be used via MailChimp to send marketing, discount offers and further communication from us. If you do not wish us to contact you please do not tick this box.
  2. When you submit a Job Application form on our website, this information is directly sent to our Outlook email ([email protected]) and forwarded to our roofing managers to keep on email file in case we do have any job openings coming up then they can respond via email.
  3. When you visit our Site we use Google Analytics to collect limited information about your online browsing behaviour and any devices you have used to access our Site (including your anonymised IP address, browser type and mobile device identifiers). We do not use aggressive data collection techniques with Google Analytics so Advertising Features, Display and Search Remarketing, Advertising Reporting Features, User-ID Feature, Demographics and Interest Reports and In-Page Analytics are all disabled.

    We use the limited data collected to continually review and improve the service we provide so that you have an excellent online experience with Lords Roofing.

The Personal Information you submit on the forms on our website will be stored in Outlook and our CRM system called Insightly. No Personal Information is stored on this website’s database or web server.

How long do we keep your personal information

Unless a longer retention period is required or permitted by law, we will only hold your Personal Information on our systems for the period necessary to fulfil the purposes outlined in this Privacy Policy or until you request it is deleted. If, having provided your Peronsal Information via a form on our Website, you do not use our Website for a reasonable time we may contact you to ensure you’re still happy to receive communications from us. Even if we delete your Personal Information it may persist on back-up or archival media for legal, tax or regulatory purposes.
